QEPRA Annual General Meeting 2016 - 2017

The QEPRA AGM for 2016 - 2017 will be held on Tuesday 17th January 2017 at the QEP Centre, 7.30pm for 8pm start.

The Agenda will be published and circulated by 23rd December 2016.

The AGM will include:

  • Reports from the Chairman, Honorary Treasurer, and Sub-Committees
  • Opportunities for Residents to pose questions and raise concerns
  • Presentation by the Managing Agents, Hazelvine
  • (To be confirmed) a speaker. We are inviting a high-profile Surrey official but don’t yet know, as yet, whether they will be able to come.

If you would like to submit a Resolution - for amendment to the existing QEPRA Rules, or on any other matter - for consideration, please send it to the Chairman by Monday 28th November 2016. Each Resolution must have a proposer and a seconder.  

Please also submit matters for Any Other Business beforehand to [email protected], so that properly informed answers can be given.

At the AGM, QEPRA Officers also stand down. QEPRA always needs more people to offer to help, and there will be vacancies on the committee and for officers (Chair, Vice-Chair, Secretary, Treasurer, QEPRA Co-ordinator). Please consider volunteering. For officers, please fill in the nomination form provided by Hazelvine, including names of proposer and seconder. All nominations must be in by 28th November. (Volunteers for ordinary committee members do not need to be proposed/seconded.)

The Agenda and all forms will be circulated via the following routes:

  • Posted on Hazelvine website: www.hazelvine.com (log in to your account)
  • Distribution by Hazelvine to all homes and businesses in QEP
  • Housing Association  properties will receive the information from their Housing Association.

If you do not receive the Agenda and other papers by 23rd December 2016, email [email protected]  Please note that if you have signed up to receive Hazelvine correspondence by email only, you will receive the agenda and all other information by this route and by no other.

Nomination forms and Resolutions (no form needed) may be sent via email to [email protected], or hand delivered or posted to:  QEPRA, c/o QEP Centre, Railton Road, Guildford, GU2 9JX.  If hand delivering, there is a postbox to the right of the front door opposite the green. All must be received by 28th November 2016.

Important Note. This year, we have reason to believe that the handover of the QEP Residents’ Management Company to homeowner/ shareholders will actually happen. The consultant who has been working on the issue for the developers, is optimistic. In that case, prospective directors for the company, will be needed.  A separate letter will be issued about that, as and when appropriate.
